Collection Notice – Woolworths 25 Year Club

The 25 Year Club is a program established by Woolworths Group Limited (Woolworths Group or we) to recognise our long-serving team members and provide team members with the opportunity to meet on an annual basis at a Woolworths Group-sponsored event.

The 25 Year Club program and website (www.25year.club) (the Site) is owned and operated by Woolworths Group.

How and why we collect and use your personal information

If you register for an online account on the Site we will collect your personal information including your account information (your first name, last name, unique 25 Year Club number/ ID, phone number, date of birth and email address) and any personal information within the materials you post on the Site (such as photos and videos of 25 Year Club events, comments on posts and in chats posted via the Site chat function during 25 Year Club events).

If you choose not to provide (or confirm) the mandatory information for registration of a 25 Year Club online account, we will not be able to register your online account.

We will collect and use your personal information primarily for the purposes of registering and administering your online account, enabling your participation as a member of the 25 Year Club (which includes considering any enquiries or requests you make), inviting you to 25 Year Club events, sending you your 25 Year Club event ticket and facilitating your use of the Site. If you do not share this information with us you will not be able to attend any 25 Year Club events in person.

We may also use your personal information for the following purposes:

to help us improve our 25 Year Club offering;
for research and analytical purposes;
to assist with COVID-19 contact tracing or to communicate with you and/or notify relevant government agencies in the event of a COVID-19 positive case at an event; and
to comply with our legal obligations.

In addition we collect and use your personal information for other purposes which are within your reasonable expectation or permitted by law.

Any photos, videos and comments on posts (and any personal information within those) you share on the Site will be viewable by us and other members of the 25 Year Club and will be identifiable on the Site via your name (or nickname you’ve provided for public posts) as registered on your 25 Year Club online account.

Chat messages will be viewable only by the 25 Year Club member or selected members you have sent it to, however will also be subject to review by us for moderation purposes.

Disclosure to others

We disclose your personal information to other persons and entities. For example, we disclose personal information to:

our trusted service providers who perform functions or services on our behalf (including to our information technology service providers);
our related bodies corporate
relevant health authorities or their nominated contact tracing agencies for COVID-19 contact tracing; and
to regulators or courts for compliance with applicable laws or where otherwise required by law.
